Required qualifications, skills and experience:

Basic Qualifications:

  • High School Deploma/GED with at least 3 years of administrative experience

  • Basic Internet Explorer skills to include opening a browser, typing in URLs in the correct location, using a search engine, bookmarking a site, navigating using back/forward/stop buttons, and filling out forms online

  • Basic math skils including addition, subtraction, multiplication and division

  • Experience discerning and maintaining confidential information

  • Intermediate level skill in Microsoft Excel (for example: using AVERAGE function, merging and centering cells, printing centered page and/or creating a pivot table)

  • Intermediate level skill in Microsoft Word (for example: inserting headers, page breaks, page numbers and tables and/or adjusting table columns)

  • Intermediate level skill in Microsoft PowerPoint (for example: applying a theme, formatting character spacing, inserting a picture, changing slide layout and theme colors, adding transitions, customizing slide numbers, changing chart style and/or formatting font)

  • Experience establishing and maintining relationships with individuals at all levels of the organization, in the business community and with vendors

  • Experience providing customer service to internal and external customers, including meeting quality standards for services, and evaluation of customer satisfaction

  • Experience entering data into databases (ex: Excel)

  • Willing to work overtime; this may include evenings, weekends and/or hours outside of normal business hours

Job description:

Job Summary

Provides administrative and organizational support to the pharmacist in charge (PiC). Developes schedules, reports, etc for signoff by the PiC.

Job Responsibilities

  • Provides various office and administrative support activities. Identifies, enhances and follows specific processes and procedures to maximize efficiencies. Responds promptly to incoming correspondence and maintains an extensive filing system for correspondence.

  • Collects and reports information needed for controlled substance reporting to state and federal agencies

  • Develops schedules of the pharmacy staff

  • Monitors and assigns tasks as directed that relate to ScriptMed, Connected Care, and Windshield to enchance compliance nd efficiency

  • Tracks all state licensure information for the facility to ensure compliance and mnitors cross licensing needed for disaster recovery. Reports licensing information as needed

  • Completes for approval al lof the license paperwork for the facility

  • Supports the implementation of the new pharmacy initiatives

  • Prepares reports, reviews, and audits for approval by the PiC to meet accreditation requirements, 3rd party and Pharma audits

  • Prepares and designs routine and advanced correspondence, memos, charts, tables, reports and presentations

  • Researches and notifies the PiC of industry and state law changes for review to determine ho they might impact pharmacy operations

  • Tracks auditing of daily and monthly compounding requirements, ensuring all records are complete and accurate

  • Coordinates with the trade team to set up facility in-services
